Define Objective -> Know Audience -> Build Narrative -> Structure Slides -> Write Notes -> Rehearse
Before writing a single slide, answer these questions:
| Question | Purpose |
|---|---|
| What is the one thing the audience should remember? | Drives the core message |
| What do you want the audience to do after this presentation? | Defines the CTA |
| Why should the audience care? | Shapes the hook |
| What does the audience already know about this topic? | Sets the starting point |
| How much time do you have? | Determines depth and scope |
Presentation types and their goals:
| Type | Goal | Structure | Typical Length |
|---|---|---|---|
| Informational | Transfer knowledge | Logical, sequential | 15-45 min |
| Persuasive | Change minds, get buy-in | Problem-solution, evidence-based | 10-30 min |
| Pitch | Secure investment, approval, or partnership | Story arc, vision + proof | 5-20 min |
| Keynote | Inspire, set direction | Narrative-driven, emotional | 20-60 min |
| Status update | Report progress, flag risks | Data-driven, structured | 5-15 min |
| Training | Build capability | Step-by-step, interactive | 30-90 min |
Audience analysis matrix:
| Factor | Questions | Impact on Presentation |
|---|---|---|
| Knowledge level | Expert, intermediate, or beginner? | Determines jargon, depth, starting point |
| Attitude | Supportive, neutral, or skeptical? | Shapes evidence strategy, tone |
| Stakes | How does this affect them personally? | Drives relevance and urgency |
| Decision authority | Can they act on your message? | Determines CTA specificity |
| Attention span | Voluntary or captive audience? Time of day? | Affects engagement techniques |
| Group size | 5, 50, or 500? | Determines interaction level |
The three-act structure for presentations:
Act 1: Setup (15%) Act 2: Confrontation (70%) Act 3: Resolution (15%)
Hook → Context → Thesis Evidence → Story → Data → Story Summary → CTA → Close
Act 1 — The Setup (first 15% of your time):
Hook techniques:
| Technique | Example | Best For |
|---|---|---|
| Surprising statistic | "90% of strategies fail at execution, not design." | Data-driven audiences |
| Provocative question | "What if everything you know about X is wrong?" | Skeptical or expert audiences |
| Story or anecdote | "Last Tuesday, a customer called us and said..." | Any audience |
| Bold statement | "We need to completely rethink how we do X." | Leadership, change-oriented |
| Visual | A single powerful image or before/after | Large audiences, keynotes |
| Problem statement | "We are losing $2M/month to this problem." | Decision-makers |
Act 2 — The Confrontation (middle 70%):
Act 3 — The Resolution (final 15%):
Slide planning guidelines:
| Time Available | Slides | Pace |
|---|---|---|
| 5 minutes | 5-7 slides | 1 per minute |
| 15 minutes | 10-15 slides | 1 per 1-2 minutes |
| 30 minutes | 15-25 slides | 1 per 1-2 minutes |
| 60 minutes | 25-40 slides | 1-2 per minute |
Slide types and when to use them:
| Slide Type | Purpose | Design Principle |
|---|---|---|
| Title slide | Set expectations, establish credibility | Clean, minimal, presenter name and date |
| Agenda slide | Orient the audience | 3-5 items, show where you are going |
| Key message slide | Deliver a core point | One sentence, large text, no clutter |
| Data slide | Support a claim with evidence | One chart, clear label, callout for the insight |
| Story slide | Make it memorable and human | Image or quote, minimal text |
| Comparison slide | Show options or trade-offs | Side-by-side or table format |
| Process slide | Show how something works | Flowchart or numbered steps |
| Transition slide | Signal a new section | Section title only, different background |
| Summary slide | Reinforce key takeaways | 3 bullet points maximum |
| CTA slide | Drive action | One specific ask, contact info |
Slide design rules:
Speaker notes for each slide should include:
| Element | Purpose |
|---|---|
| Transition phrase | How to move from the previous slide to this one |
| Key talking point | The 1-2 sentences that convey this slide's message |
| Supporting detail | Data, anecdote, or example to elaborate if needed |
| Timing cue | How long to spend on this slide |
| Audience cue | When to pause, ask a question, or check for understanding |
Example speaker note:
[Transition: "So we have established the problem. Now let me show you what
we are proposing."]
Key point: Our recommended approach reduces time-to-market by 40% compared
to the current process, with no increase in cost.
Supporting: Walk through the three phases — discovery (2 weeks), build
(6 weeks), launch (2 weeks). Compare to current 16-week cycle.
Timing: 2 minutes on this slide.
Audience: Pause after the comparison and ask if there are questions about
the timeline before moving to costs.
Engagement techniques by audience size:
| Technique | Best For | When to Use |
|---|---|---|
| Direct question | Small groups (< 20) | After presenting a key finding |
| Show of hands | Medium groups (20-100) | To gauge audience experience or opinion |
| Live poll | Any size with tech | To create data in real time |
| Think-pair-share | Workshops, training | After presenting a framework |
| Case study / scenario | Small to medium groups | To apply concepts |
| Q&A breaks | Any size, longer talks | Every 15-20 minutes |
| Callback to earlier point | Any size | To build continuity and test retention |
